PRIVACY POLICYBenjamin Scharbau ("we," "us," or "the Company") establishes this Privacy Policy ("this Policy") regarding the handling of users' personal information in connection with our poker bar directory service, "AllIn Japan" ("the Service").

2. Information We Collect
In providing the Service, we collect the following information.
2.1 Information provided at account registration
- Email address
- Password (stored encrypted)
- If you sign in via Google, the name, email address, and profile image provided by Google
2.2 Information provided when submitting a listing claim or delisting request
- Applicant's name
- Applicant's role (venue owner, manager, authorized representative, etc.)
- Phone number
- Email address
- Image or scan of the venue's entertainment business license (許可証) or equivalent documentation
- License number, date of issuance, and the issuing prefectural public safety commission
2.3 Information automatically collected during use of the Service
- Access logs, IP address, date and time of access, pages viewed, and referring page. This information is collected through the two analytics tools described below.
- Umami (self-hosted, aggregate traffic analytics): page views and overall usage trends. Umami does not set cookies and does not collect information that identifies you individually.
- Ahoy (first-party event tracking): specific interactions with the Service, such as views of an individual venue listing and clicks on contact or inquiry buttons. Ahoy is configured not to use persistent cookies; instead it uses a visit identifier ("visit token") scoped to a single visit, which is generated on our servers and is not stored on your device as a cross-session cookie. When you are signed in, events recorded through Ahoy may be associated with your account.

3. Purposes of Use
We use the information collected for the following purposes:
- To provide and operate the Service
- To review submitted listing information for accuracy and determine whether to approve a listing (license documentation is used solely for this review purpose and is never published)
- To respond to inquiries from users
- To inform venue owners of review outcomes and how to manage their listing
- To respond to violations of the Terms of Service
- For service-improvement analysis (used only in aggregated, non-individually-identifiable form)
- To provide venue operators with visibility into visitor activity on their own listing, such as the number of views the listing receives and clicks on its contact button
- To send important notices or communications regarding the Service
We will not handle personal information beyond the scope necessary to achieve the above purposes. If we change the purpose of use, we will notify users in advance through a revision of this Policy or individual notice.
4. Special Provisions Regarding License Documentation
Images and information from entertainment business licenses provided as part of a listing claim are collected solely for the purpose of reviewing that claim and are never made public. We restrict access to this information through technical access controls so that only authorized personnel may view it, and we may delete it within a reasonable period once the purpose has been fulfilled.
5. Disclosure to Third Parties
We will not provide personal information to third parties without prior user consent, except in the following cases:
- Where required by law
- Where necessary to protect a person's life, body, or property, and obtaining consent is difficult
- Where particularly necessary for public health or the sound development of children, and obtaining consent is difficult
- Where cooperation with a national or local government agency (or an entity commissioned by one) is necessary for that agency to perform duties prescribed by law
At present, we do not provide personal information to third parties in connection with operating the Service, other than to a payment processing provider (which will be announced upon introduction of paid features). Should payment functionality be introduced, we will revise this Policy and provide advance notice.
6. Management of Personal Information
We implement necessary and appropriate measures to prevent the leakage, loss, or damage of personal information and to otherwise ensure its security, including:
- Storing sensitive information such as license documentation in a non-public storage area accessible only to personnel with administrator privileges
- Encrypting communications (SSL/TLS)
- Limiting access rights to what is necessary for business operations
7. Use of Cookies, etc.
The Service uses two analytics tools. Neither is used to deliver third-party advertising.
- Umami is a self-hosted, aggregate traffic-analytics tool. It does not set cookies and does not collect information that identifies you individually; it is used only to understand overall traffic and usage trends.
- Ahoy is a first-party event-tracking tool run on our own infrastructure. It is configured not to set persistent cookies. Instead, each visit is recorded on our servers with a short-lived visit identifier ("visit token") scoped to that single visit; this identifier is not placed on your device and is not used to recognise you across separate visits or other websites. If you are signed in to an account, activity recorded by Ahoy may be linked to that account.
Separately, the Service uses a small number of strictly necessary cookies for functions such as keeping you signed in and protecting form submissions (CSRF protection). These are not used for analytics or advertising. You may disable or delete cookies through your browser settings, though doing so may prevent sign-in or limit some features of the Service.
8. Requests for Disclosure, Correction, or Suspension of Use
Users may request the disclosure, correction, addition, deletion, or suspension of use of their own personal information held by us, in accordance with the Act on the Protection of Personal Information. Please direct such requests to the contact listed in Article 1. We will respond within a reasonable period in accordance with applicable law, after confirming your identity.
9. Regarding Minors
Some venues featured in the Service may be subject to age restrictions under the Act on Control and Improvement of Amusement Business, etc., and related laws. We do not intentionally collect personal information from minors.
10. Revisions to This Policy
We may revise this Policy in response to changes in law or to the content of the Service. Where a material change is made, we will provide advance notice to users through a posting on the Service or other appropriate means.
